Job Description

Overview The Hole in the Wall Gang Camp is seeking a Recruitment and Volunteer Coordinator for the The Hole in the Wall Gang Camp organization. This is a full-time role located onsite in Queenstown, Maryland. Position Description The Recruitment and Volunteer Coordinator will lead camper recruitment and volunteer stewardship for the Queenstown, Maryland location. The role oversees the recruitment and management of applications for both campers and volunteers, ensures that all participants complete the registration process and submit the required documentation for Family Weekend programming, trains volunteers, welcomes families to the camp, and coordinates transportation for all participants. The coordinator will: Communicate and demonstrate the organizations mission, goals, and culture. Lead staff and campers in a social context that honors safety, inclusion, friendship, possibility, and gratitude. Maintain adherence to policies and procedures in the Camp Family Weekend Manual. Manage the recruitment and volunteer budget. Ensure procedural compliance with federal, state, ACA, and SeriousFun Childrens Network statutes and best practices. Design and implement the volunteer program for the Queenstown site while maintaining consistency of care across the organization. Partner with the Camp Director to recruit, interview, train, and supervise volunteers for residential programming. Maintain timely, respectful communication throughout the volunteer onboarding process. Oversee background checks, medical forms, and volunteer agreements using a CRM (Salesforce). Coordinate volunteer placements, housing, and transportation logistics. Plan and lead volunteer orientations; build a year?round volunteer community. Organize volunteer appreciation efforts and respond to inquiries via email and website contacts. Direct all steps for campers and families to attend Camp, including camper recruitment, applications, and CRM support for Maryland location. Serve as the first point of contact for Camp families with clear and compassionate communication. Develop inclusive recruitment strategies to encourage diverse camper participation. Maintain and update camper applications, including media releases, evaluations, and permissions. Collaborate with the Nursing Director to determine camper eligibility and health documentation. Represent Camp at recruitment events and build relationships with hospitals and referral partners. Assign camper session dates and maintain the database. Lead virtual family orientation meetings with the program team and distribute camper acceptance packets. Create database reports and dashboards to support program planning and participant needs. Assist with special projects and perform additional duties as assigned. Qualifications A bachelors degree or coursework in child life, non-profit management, social work, or related fields is desirable, but no minimum education requirement. Experience using Salesforce or another CRM database is desired; previous work with volunteer supervision is preferred. Interviewing and hiring experience is preferred but not required. Experience in residential camping, medical, or non-profit organizations is desirable. Ability to establish positive relationships with diverse groups in multicultural environments. Excellent written and verbal communications skills for diverse internal/external stakeholders. Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint; ability to learn Salesforce, FormAssembly, and other database/workflow tools. Highly organized with the ability to manage priorities in an evolving program. Ability to operate a computer for extended periods with appropriate breaks. Ability to work a flexible schedule with some weekend requirements. Ability to pass a national and state background check (as applicable).
